Moving to QuickBooks Online won’t make your books faster. Its AI will.

Plenty of builders moved from QuickBooks Desktop to Online and found the same slow bookkeeping, just in a browser. The speed comes from the AI that Online now includes, set up around how a construction office actually works.

The short version

  • Moving from Desktop to Online changes where your books live, not how much work they take. The manual entry and the month-end crunch come with you.
  • The time savings are in QuickBooks Online’s AI agents: categorizing and reconciling, chasing invoices, collecting hours and, in Advanced, setting up jobs from the contract.
  • Clean up your job list and cost codes first, turn the agents on one at a time and keep a person reviewing their work.

Intuit stopped selling QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus to new US customers in 2024, and Desktop 2023 lost bank feeds, payroll tax updates and support after May 31, 2026. So a lot of contractors have moved to QuickBooks Online, or are being pushed there.

Here’s the catch. A migration copies your data and your process. If the office was keying receipts, coding them to jobs and matching bank lines by hand in Desktop, it’s doing the same thing in a browser now, without the Desktop shortcuts people knew by heart. The switch only pays off when you put Online’s AI to work on the slow parts.

Where the time goes in a builder’s books

In most construction offices, the same handful of tasks eat the week:

  • Receipts and card charges that each need a job and a cost code.
  • Bank and card reconciliation, usually crammed into month end.
  • Progress bills and invoices going out late, then chasing payment.
  • Collecting crew hours for payroll and job costing.
  • Setting up each new job and its budget from the contract.
  • Answering “are we making money on this job?”, which usually means building a report.

None of these get faster just because QuickBooks moved to the cloud. Every one of them now has an AI tool aimed at it.

What QuickBooks Online’s AI can take off your plate

  • Accounting Agent: categorizes transactions, helps with reconciliation and flags anything unusual. It’s in Essentials and up, with an enhanced version in Advanced.
  • Payments Agent: drafts invoices and reminders, and predicts which customers are likely to pay late. Intuit says invoices with reminders get paid about five days sooner.
  • Payroll Agent: collects employee hours by text message and checks them before payroll runs.
  • Project Management Agent: in Advanced, builds a new project from documents you already have, like the contract.
  • Intuit Intelligence: in Advanced, lets you ask plain questions such as what’s driving a cost overrun or how a job’s margin compares with similar jobs. It’s in beta and limited to admin users.

Since August 2026, QuickBooks Online Advanced also includes construction financials at no extra cost: change orders that update costs and invoices together, AIA-style progress billing, budget versus actual and work in progress while a job is still open, and owner payments that post to the books on their own. For a builder still running progress billing in spreadsheets next to Desktop, that’s a bigger change than the move itself.

How to set it up so it actually saves time

The agents learn from your history. If your old books had receipts coded to the wrong job, they’ll repeat the mistake faster. Do the setup in this order:

  • Clean up first. Trim the chart of accounts, merge duplicate vendors and make sure every active job and cost code is set up correctly.
  • Connect every bank and card account, and have crews snap receipts in the QuickBooks app the day they buy something.
  • Turn on the Accounting Agent first. Review its categorizations daily for the first two weeks, especially which job each cost lands on, and correct it so it learns.
  • Turn on payment reminders for invoices past due, and watch how fast they come in.
  • Check the business feed weekly. It summarizes what the agents did, and you can accept or ignore each suggestion.
  • Bring your accountant in. They’ll see the agents’ work and catch coding problems before tax time.

QuickBooks still won’t run your estimates, schedules or field logs. If those live in Buildertrend, JobTread or another tool, connect them so job costs flow into the books instead of being keyed twice. JobTread’s AI Connector is one example of the AI you already use reaching across both.

Questions

Do I have to leave QuickBooks Desktop?

Not everyone, yet. Desktop 2024 and Desktop Enterprise are still supported, but Intuit stopped selling Pro Plus, Premier Plus and Mac Plus to new US customers, and older versions lose bank feeds and payroll updates when they’re retired. Intuit’s new AI agents are built for QuickBooks Online.

Will the AI post things to my books without me?

The agents handle routine work and make suggestions, and the business feed shows what they did. You can accept or ignore each suggestion. Keep a person reviewing job cost coding until you trust it.

Buildertrend and QuickBooks: what the sync does, and where AI fills the gaps

Most builders on Buildertrend connect it to QuickBooks and stop there. The sync keeps records matched, but the WIP schedule, the draw check and the answer to “how is this job really doing?” still happen in a spreadsheet. Here’s how the pieces fit, and where AI belongs.
